This page explains how we implement one digital employee, the executive assistant, on Odoo. It is one role of AI Digital Employees, our product for governed AI workers in sales, collections, support, reception and the back office.
The trouble with management reports
In most growing businesses, directors get their numbers late. You ask the accountant, wait for a spreadsheet, and by the time it arrives the overdue invoice is a week older. The information is all in Odoo. Getting it out takes someone’s time.
A morning briefing from your own books
Every morning, at 07:00 or a time you choose, each director can receive a WhatsApp message covering:
- yesterday’s new quotes and confirmed orders, and quotes still waiting for a reply after two days;
- confirmed orders not yet invoiced, with the oldest at the top;
- invoices posted and payments received yesterday, by bank account, mobile money or cash;
- total receivables by age (not yet due, 1–30, 31–60, 61–90 and over 90 days), with your largest debtors;
- month-to-date sales and expenses against the same days of last month.
Every briefing states the time its figures were taken.
Alerts you didn’t have to ask for
Set your thresholds once. For example: an invoice passing 60 days overdue, an expense above KES 50,000 or an order above KES 200,000. The assistant tells the right people when it happens, and each alert fires only once.
Ask in plain language
Ask “Who owes us the most?”, “How are sales this month against last month?” or “Nani hajalipa invoice ya mwezi uliopita?” The answer comes from Odoo, in the language you asked in. Ask it to create a follow-up on an overdue invoice and it will show you exactly what it is about to do, then wait for your “yes” or “ndiyo”.
Safe by design
- Permissions in the tools. A tool your role can’t use is never offered to the AI.
- People confirm every change. The assistant carries out the stored action exactly as you approved it, and nothing else.
- No invented figures. If no tool answers the question, the assistant says so.
- A full audit log and an off switch. Turn off one rule in Odoo and the assistant stops at once.
Where it goes next
Once your operations data lives in Odoo, such as job schedules, attendance and complaints, the same assistant can brief supervisors on their own jobs and flag missed jobs or short-staffed crews. Our Odoo ERP service can help put that data in place.
